Getting started is straightforward. Once you decide to implement CVS, our team will schedule a kickoff to gather your requirements – for example, what types of certifications you plan to track, how your organization is structured (departments, projects, etc.), and any specific workflows you have. We then configure your CVS account accordingly and assist with the initial data migration (bringing in your existing training records). The one-time setup fee covers this phase, ensuring the system is tailored for you. You’ll also receive admin training, which can be done via web conference, where we show your key staff how to add records, scan IDs, and use the features. From there, you can roll it out to your sites: distribute the QR code ID cards to employees (we can help print them quickly), and start using the scanning and tracking immediately. Many companies pilot CVS on one project or crew first – that’s fine too, and we often support a phased rollout. Additionally, if you took advantage of a free demo or trial, any data you entered there can be carried over to your production account. Our goal is to make the onboarding as smooth as possible so you can focus on improving safety compliance, not wrestling with technology. After launch, we remain available for any questions and to ensure you’re getting the most out of the platform.

No – all subscription plans come with unlimited system use and support. This means you’re not charged per admin or per user account; you can have as many managers, safety officers, or other team members accessing the system as needed without extra fees. “Unlimited usage” also implies you can store unlimited training records and perform unlimited QR scans – the pricing is based on active employees being tracked, not on how often you use the features. Support is included as well: if you have questions or need help, you have access to customer support (via phone or email) at no additional cost. We know reliability is crucial, so our support team is there to assist with onboarding, troubleshooting, or even just guidance on best practices. In short, the pricing is designed to be all-inclusive: once you subscribe, you should have everything necessary to use CVS fully, without worrying about add-on costs. Purchasing ID cards from CVS is optional but recommended for convenience. The CVS service is a product of InstantCard (a professional ID card provider), so we offer high-quality, pre-printed photo ID badges with QR codes for each employee at a low per-card cost. Many clients choose this option because it’s turnkey – you provide your employee data and any card design preferences, and we handle printing and delivery. However, if you already have an ID card system or want to handle cards yourself, you can still use CVS: the system can generate QR codes for each profile, which you could print on your own cards or stickers. There’s no proprietary technology locking you in – any QR code that encodes the correct URL will work with the system. We don’t require you to buy scanners either (as mentioned, any smartphone can do the job). Essentially, the only “equipment” consideration is how you want to deploy the QR codes. Many companies find value in our ready-made, durable cards (given the fast turnaround and not having to manage printing in-house), but it’s up to you. The core service – the software platform – is what you’re subscribing to; how you implement the physical badges has some flexibility to suit your needs.

It was originally an InstantCard client who, in 2012, brainstormed with us to develop the pilot program that turned into CVS.

InstantCard developed the CVS service over a two-year period of time, driven entirely by clients who were asking for a better way to access their training records online.   First we researched the best technologies to make employee badges “smart”.  Then we then focused on how to best serve the needs of safety and training professionals, focusing primarily on the construction industry.  Subsequently, as we added major clients, we solicited continual feedback on additional features to be added that would make the service even more useful to them.

Now, years later, we believe that we offer the most advanced credential management platform available anywhere.
